 Safeguarding Policy

The purpose of this policy statement is to protect children and young people who receive EJM Academy of Dance’s services from harm. This includes the children and adults who use our services. This policy applies to anyone working on behalf of EJM Academy of Dance including, Principals, volunteers, staff and students.

This policy has been drawn up on the basis of legislation, policy and guidance that seeks to protect children in Wales. A summary of the key legislation and guidance is available from nspcc.org.uk/childprotection.

 

We believe that:

 • Children and young people should never experience abuse of any kind

• We have a responsibility to promote the welfare of all children and young people, to keep them safe and to practise in a way that protects them.

 

We recognise that:

 • The welfare of children is paramount in all the work we do and in all the decisions we take

• Working in partnership with children, young people, their parents, carers and other agencies is essential in promoting young people’s welfare

• All children, regardless of age, disability, gender reassignment, race, religion or belief, sex, or sexual orientation have an equal right to protection from all types of harm or abuse

 • Some children are additionally vulnerable because of the impact of previous experiences, their level of dependency, communication needs or other issues

• Extra safeguards may be needed to keep children who are additionally vulnerable safe from abuse.

 

We will seek to keep children and young people safe by:

• Valuing, listening to and respecting them

• Appointing a nominated child protection lead for children and young people

 • Adopting child protection and safeguarding best practice through our policies, procedures and code of conduct for staff and volunteers

• Providing effective management for staff and volunteers through supervision, support, training and quality assurance measures so that all staff and volunteers know about and follow our policies, procedures and behaviour codes confidently and competently

•Recruiting and selecting staff and volunteers safely, ensuring all necessary checks are made

• Recording and storing and using information professionally and securely, in line with data protection legislation and guidance [more information about this is available from the Information Commissioner’s Office: ico.org.uk/fororganisations]

 • Making sure that children, young people and their families know where to go for help if they have a concern

• Using our safeguarding and child protection procedures to share concerns and relevant information with agencies who need to know, and involving children, young people, parents, families and carers appropriately

 • Using our procedures to manage any allegations against staff and volunteers appropriately

• Creating and maintaining an anti-bullying environment and ensuring that we have a policy and procedure to help us deal effectively with any bullying that does arise

 • Ensuring that we have effective complaints and whistleblowing measures in place

• Ensuring that we provide a safe physical environment for our children, young people, staff and volunteers, by applying health and safety measures in accordance with the law and regulatory guidance

• Building a safeguarding culture where staff and volunteers, children, young people and their families, treat each other with respect and are comfortable about sharing concerns.

Health & Safety Policy

Effective Date: 11 July 2026

1. Policy Statement

EJM Academy of Dance is committed to providing a safe, welcoming and enjoyable environment for all students, parents, visitors and staff. Every reasonable step will be taken to reduce risks and ensure classes are delivered safely.

This policy applies to all classes, workshops, performances and events organised by EJM Academy of Dance.

 

2. Our Commitment

EJM Academy of Dance will:

  • Provide a safe environment for all students.

  • Carry out regular risk assessments of the venue and activities.

  • Ensure emergency exits remain clear and accessible.

  • Keep walkways free from hazards.

  • Maintain appropriate first aid provision at every class.

  • Promote safe dance practice appropriate to students’ ages and abilities.

  • Comply with all relevant health and safety legislation.

 

3. First Aid

A qualified first aider will be present during every class.

A fully stocked first aid kit will be available at all sessions.

All accidents, injuries and incidents will be recorded in an Accident Book.

Parents or guardians will be informed as soon as possible if a child receives first aid during class.

In the event of a serious injury or medical emergency, emergency services will be contacted immediately, followed by the student’s emergency contact.

 

4. Medical Information

Parents and adult students must inform EJM Academy of Dance of:

  • Medical conditions

  • Allergies

  • Asthma

  • Epilepsy

  • Diabetes

  • Injuries affecting participation

  • Any additional needs that may require support

This information must be kept up to date.

Medication should only be brought to class where necessary and parents should discuss any requirements with the teacher beforehand.

 

5. Safe Dance Practice

Students should:

  • Wear suitable dance clothing and appropriate footwear.

  • Tie long hair back securely.

  • Remove jewellery where possible.

  • Bring water to class.

  • Inform the teacher if they feel unwell or have an injury.

Students should never attempt movements beyond their ability without teacher supervision.

 

6. Arrival and Collection

Parents remain responsible for children until the class begins.

Children should be collected promptly at the end of class.

 

7. Fire and Emergency Procedures

At the start of each term, staff will familiarise themselves with:

  • Fire exits

  • Assembly points

  • Emergency evacuation procedures

In the event of an emergency:

  • Students will leave the building calmly under the teacher’s instruction.

  • Registers will be checked where possible.

  • Emergency services will be contacted if required.

  • Students will remain supervised until collected.

 

8. Hygiene

Students should not attend classes if they have a contagious illness.

Good hand hygiene is encouraged before and after class.

Dance spaces and equipment will be kept clean and tidy.

 

9. Risk Assessments

Risk assessments will be carried out regularly and reviewed when:

  • A new venue is used.

  • New activities are introduced.

  • An accident or near miss occurs.

  • Significant changes are made to classes.

 

10. Responsibility

All students, parents and visitors are expected to act responsibly and follow safety instructions.

Parents should immediately notify EJM Academy of Dance of any concerns regarding health and safety.

Photography & Video Policy

Policy Statement

At EJM Academy of Dance, we enjoy celebrating our students’ achievements through photographs and videos. Images may be taken during classes, performances, examinations, workshops and special events.

We are committed to protecting the privacy and safety of all our students and will always use images responsibly and in accordance with UK GDPR and the Data Protection Act 2018.

 

How Images May Be Used

With your permission, photographs and videos may be used for:

  • EJM Academy of Dance’s website

  • Official social media pages (such as Facebook and Instagram)

  • Printed promotional material

  • Posters and leaflets

  • Newsletters

  • Displays within the dance school

  • Local newspaper articles (where appropriate)

 

Our Commitment

EJM Academy of Dance will:

  • Always use images respectfully.

  • Never knowingly use an image that could place a child at risk.

  • Never publish a child’s full name alongside their photograph.

  • Never share personal information with photographs or videos.

  • Store digital images securely.

  • Respect a parent or student’s decision if permission is not given.

 

Parent and Student Photography

Parents and family members are welcome to take photographs or videos during performances unless otherwise advised.

We kindly ask that:

  • Images are only taken of your own child where possible.

  • Images are not shared publicly if they include other children without their parents’ permission.

  • Images are used respectfully and responsibly.

Photography or filming during regular dance classes may be restricted to protect the privacy of all students.

Consent may be withdrawn at any time by contacting:

Please note that once printed materials have been produced or images have already been published online, it may not always be possible to remove every existing copy immediately. However, no further use will be made once consent has been withdrawn
